Job Purpose

The role is pivotal in ensuring the seamless and effective provision of comprehensive, high-level assistance to Course Convenors and academic personnel within the School of Physics and Astronomy, directly reporting to the Learning and Teaching Manager.

Oversee the operations of the Teaching Support Team (TST), guaranteeing that all processes and protocols associated with the educational offerings are executed, thereby aiding the School in fulfilling its strategic goals and objectives.

Main Duties and Responsibilities
  1. Act as a deputy for the Learning and Teaching Manager, representing them in various capacities.

Address all inquiries related to teaching administration during their absence from university services, academic staff, and other stakeholders, and participate in meetings on their behalf, establishing overall priorities for support services.

Collaborate with the Learning and Teaching Manager to manage the organization, planning, and development of TST's workload while effectively prioritizing personal tasks to meet deadlines.

Independently assess office procedures and objectives, implementing necessary modifications.

Supervise TST personnel, ensuring the efficient delivery of services within the School in alignment with university and college standards.

Work closely with the Learning and Teaching Manager to facilitate successful recruitment processes within TST, monitor staff workload, and enhance individual performance to maximize contributions.

Oversee administrative tasks for the seven MSc programs within the School of Physics and Astronomy, leading and managing processes that support coursework submissions.

Serve as the primary TST contact for the PGT Convenor and PGT Project Coordinator, as well as for advisors, teaching staff, support personnel, and PGT students, providing specialized guidance for PGT-related inquiries.

Engage with project contacts across various industries and external placements, collaborating with the School of Engineering on shared courses and liaising with other departments regarding all aspects of the PGT lifecycle.

Manage the posting, publishing, and modification of MSc course grades via MyCampus at the conclusion of each of the three annual examination periods.

Provide expert support and recommendations for the MSc Sensors & Imaging Systems (SIS) program, which is conducted in partnership with the University of Edinburgh.

Collaborate with colleagues at the University of Edinburgh concerning student enrollment, timetables, course selection, grades, and examinations, among other matters.

Coordinate with University of Edinburgh colleagues to compile and present MSc SIS grades for the PGT summer examination board.

Independently manage the creation and upkeep of the School's Cohort tracking reports, generated biannually for each of the School's five current cohorts, as requested by the Institute of Physics (IOP).

Compile, manipulate, and analyze data such as gender statistics and trends within the School for presentation at SMT meetings to inform decision-making.

Serve as one of the School's two Lead Timetablers and primary contacts for all room booking inquiries.

Address timetabling and room booking requests; liaise with the College, Learning and Teaching Convenor, Learning and Teaching Administrator, Class Heads, and SMTT to resolve space-related issues; identify suitable room locations and times, submit change requests throughout the year, and maintain data accuracy on CMIS.

Assist in managing three annual examination periods, coordinating with academic colleagues and central services regarding deadlines for exam paper production and the exam timetabling process, implementing rigorous procedures to ensure accuracy and confidentiality.

Take a lead role in the extensive process of gathering and distributing submissions to markers, verifying marking, and recording grades.

Perform any other reasonable duties as requested by the Learning & Teaching Manager to enhance administrative services. Knowledge, Qualifications, Skills and Experience

Essential Knowledge/Qualifications

  • Demonstrated competencies necessary for fulfilling the responsibilities associated with this position, having acquired the requisite knowledge and skills in a comparable role, or:
  • A Scottish Credit and Qualification Framework Level 8 (Higher National Diploma, Higher Apprenticeship, SVQ Level 4) or equivalent, along with experience in personal development in a similar capacity.
  • Thorough understanding of higher education policies and procedures.
  • Extensive familiarity with higher education administrative and support systems.

Desirable Knowledge

  • Familiarity with additional university software packages (Moodle, Qlikview, Oracle-based platforms, etc.).
  • In-depth knowledge of university/higher education issues and their implications for the role.

Terms and Conditions

Salary will be Grade 6, £32,332 - £36,024 per annum. This position is full-time and open-ended.
