Administrative Support Specialist

Key Responsibilities:

  • Manage and oversee the processing of financial data, including invoices, account reconciliations, and ensuring timely and precise payments.
  • Assist in generating re-charges, processing customer payments, and monitoring related financial information.
  • Administer and maintain statistical data across various independent software platforms as necessary.
  • Handle inquiries from the public and customers, either directly or through the Customer Records Management System, ensuring accurate records of all interactions.
  • Support departmental functions by conducting online research, compiling data, and preparing reports for departmental officers.
  • Receive, assess, prioritize, and process applications as directed by respective departments.
  • Assist senior management with Grant Funding applications, coordinating financial details and providing necessary information to fulfill funding requirements.
  • Prepare and dispatch standard template correspondence as needed, updating customer records to reflect departmental interactions while ensuring compliance with data protection regulations.
  • Maintain precise records of departmental workflows, coordinating and monitoring deadlines as required.

Qualifications and Skills:

  • Possession of NVQ Level 3 or an equivalent relevant qualification.
  • Demonstrated previous experience in an administrative role.
  • Proficiency in IT applications, including Microsoft Office Suite (Word, Excel, PowerPoint, Access).
  • A customer-centric approach with proven experience in resolving complex issues through effective mediation and negotiation.
  • Ability to work in a flexible, organized, methodical, and accurate manner.
  • Capability to perform under pressure to meet deadlines and work independently.
  • Understanding of financial processes and experience in monitoring grant funding while adhering to audit standards.
  • Strong report writing and data analysis skills.
  • Excellent communication abilities and capacity to collaborate effectively within a team.
  • Open to new ideas and adaptable in service delivery.
  • Ability to manage and handle sensitive information responsibly.
