Ecommerce Workflow Coordinator - Food Sector

As the Ecommerce Workflow Coordinator for the Food Sector, you will serve as the primary liaison within the Digital Implementation team for managing workload requests. Your role will involve overseeing capacity planning and prioritizing requirements for the Implementation & Design teams, utilizing data to optimize resource allocation and workload distribution. Additionally, you will assist in the planning and coordination of significant strategic change initiatives related to new regulatory requirements.

Key Responsibilities:
  • Collaborate closely with the Implementation Lead and key stakeholders across the broader Ecommerce team to prioritize workload requests and manage projects effectively.
  • Assist in project management of work-streams and initiatives, providing a comprehensive overview of workload requests from all digital teams, marketing, and product teams, while delivering necessary resource plans for the Implementation team to ensure timely and complete delivery, addressing any obstacles encountered.
  • Maintain up-to-date workflow management boards with new requests, scheduling activities, and reprioritizing tasks within our sprint framework.
  • Report on the status of essential BAU activities or prioritized projects, ensuring timely communication among relevant Digital departments, including Design, Implementation, Planning, and Trading.
  • Lead the transition of current workload planning into new technological solutions, managing the project from inception to completion.
  • Continuously seek improvements in operational processes to enhance efficiency within the team, enabling timely delivery of site activities. Provide guidance on best practices to improve KPIs and turnaround times.
  • Offer the Ecommerce leadership team well-informed recommendations for new activities, including urgent requests requiring swift execution.
  • Maintain a high standard of attention to detail and clarity in communication.
  • Make sound decisions and exercise good judgment under pressure or in ambiguous situations.
Required Skills and Qualifications:
  • Proven experience in workflow management or project management within a dynamic Digital environment; strong planning and organizational skills are essential.
  • Confidence in coordinating workflows across various disciplines within the Implementation team, tracking and reporting on all activities.
  • Ability to manage and influence multiple stakeholders beyond the immediate team is crucial.
  • Comfortable navigating changing priorities and ambiguity to create optimal workflow plans that balance customer and commercial impacts.
  • Excellent communication skills are vital to ensure business opportunities and risks are recognized and addressed.
  • Proficient in utilizing data to assess process performance and team workload output; lead efforts to understand and enhance capacity utilization within the team.
  • Willingness and confidence to challenge established processes and drive necessary changes.
  • An empathetic and clear communicator capable of adjusting style to suit diverse audiences.
  • Encourage a culture driven by insights across teams to ensure a continuous improvement program is in place, along with strong examples of 'test and learn' initiatives.
  • Enjoy facilitating and maximizing the potential of others.
Decision-Making Authority:
  • In collaboration with the Implementation Lead and Implementation Manager, you will oversee capacity planning for team workload, prioritizing the backlog of tasks with stakeholders and leading workload planning efforts.
  • Manage project execution of strategic initiatives and their integration within the team.
  • Ownership and oversight of the workflow management system, defining its future evolution.
  • Play a visible and proactive leadership role across the broader Ecommerce team.
