Ecommerce Workflow Coordinator - Food Sector

As the Ecommerce Workflow Coordinator for the Food Sector, you will serve as the primary liaison within the Digital Implementation team for managing workload requests. Your role will involve overseeing capacity planning and prioritizing requirements for the Implementation & Design teams, utilizing data to optimize resource allocation and task distribution. Additionally, you will assist in the planning and coordination of significant strategic initiatives related to new regulatory changes.

Key Responsibilities:
  • Collaborate closely with the Implementation Lead and key stakeholders across the Ecommerce team to prioritize workload requests and manage projects effectively.
  • Oversee project management for various work-streams and initiatives, providing a comprehensive overview of workload requests from all digital, marketing, and product teams, ensuring timely delivery and addressing any obstacles.
  • Maintain up-to-date workflow management boards with new requests, scheduling activities, and adjusting task priorities within our sprint framework.
  • Report on the status of critical business-as-usual activities and prioritized projects, ensuring effective communication between relevant Digital departments, including Design, Implementation, Planning, and Trading.
  • Lead the transition of current workload planning into new technological solutions, managing the project from inception to completion.
  • Continuously seek improvements in operational processes to enhance efficiency and ensure timely delivery of site activities. Provide guidance on best practices to optimize KPIs and turnaround times.
  • Present the Ecommerce leadership team with informed recommendations for new initiatives, including urgent requests requiring rapid execution.
  • Maintain a high standard of attention to detail and clarity in communication.
  • Make sound decisions and exercise good judgment under pressure or in uncertain situations.
Required Skills and Qualifications:
  • Proven experience in workflow management or project management within a dynamic digital environment; strong planning and organizational skills are essential.
  • Confident in coordinating workflows across various disciplines within the Implementation team, tracking and reporting on all activities.
  • Ability to manage and influence multiple stakeholders beyond the immediate team is crucial.
  • Skilled in balancing shifting priorities and ambiguity to create optimal workflow plans that consider both customer and commercial impacts.
  • Excellent communication skills are necessary to ensure business opportunities and risks are effectively communicated and addressed.
  • Proficient in utilizing data to assess process performance and team workload output; lead efforts to understand and improve capacity utilization within the team.
  • Willingness and confidence to challenge established processes and drive necessary changes.
  • An empathetic and clear communicator capable of adapting style to suit diverse audiences.
  • Encourage a culture driven by insights across teams to foster continuous improvement and robust 'test and learn' initiatives.
  • Passionate about enabling others and maximizing team potential.
Decision-Making Authority:
  • In collaboration with the Implementation Lead and Implementation Manager, you will oversee capacity planning for team workload, prioritizing the task backlog with stakeholders.
  • Manage strategic project implementations and their integration within the team.
  • Own and control the workflow management system, defining its future evolution.
  • Actively participate in a visible leadership role across the broader Ecommerce team.
