We are seeking a highly organized and detail-oriented Financial Administrator to join our team at Reed on a fixed-term basis to cover maternity leave. The successful candidate will provide high-level assistance to the Senior Finance Officer and Operations Director, demonstrating the ability to work effectively within a team and communicate efficiently with both internal team members and external clients.

Key Responsibilities:

  • Financial Administration: Draft and issue fee invoices in accordance with company procedures, once approved.
  • Accounts Receivable: Monitor and chase unpaid invoices, ensuring client queries are responded to promptly and escalating when necessary.
  • Banking and Bookkeeping: Bank any cheques received and update the company bookkeeping software alongside the appointed bookkeeper.
  • Financial Reporting: Perform daily reconciliation of payments received and ensure the accuracy of invoices in our practice management software.
  • Expense Management: Ensure timesheets are completed and submitted on time.
  • Supplier and Employee Payments: Set up supplier and employee expense payments for approval and manage the documentation.
  • Financial Record-Keeping: Assist in managing the company's financial and company records in collaboration with the Senior Finance Officer and Operations Director.
  • Financial Reporting: Prepare various financial reports for the Directors, including cash flow, chargeability, business scorecard, recovery report, billing spreadsheet, and WIP reports.
  • Communication: Liaise with the company's bookkeeper and accountant as required.
  • General Assistance: Provide general assistance to the team and undertake any other duties as reasonably requested by senior staff.

Requirements:

  • Organizational Skills: Proven organisational ability and a proactive approach.
  • Finance Experience: Experience in providing high-level assistance within a finance team.
  • Communication Skills: Strong team player with excellent communication skills.
  • Persistence: Persistence in obtaining required information or payment and ensuring actions are undertaken by others.
  • Technical Skills: Excellent Excel skills and proficiency in general office suite applications.
  • Bookkeeping Experience: Experience in bookkeeping software and financial report preparation.
  • Software Proficiency: Ideally have experience of Xero and CCH software.
