Position Overview
As an Executive Assistant to the CEO, you will play a pivotal role in providing high-level administrative and strategic support to the CEO and their office. This position requires a proactive individual who can navigate complex situations with sound judgment.

Key Responsibilities

  • Manage the CEO's calendar with precision, prioritizing requests and resolving scheduling conflicts to maintain an efficient daily agenda.
  • Coordinate travel arrangements and accommodations for the CEO, including managing expense reports.
  • Assist in various tasks that enhance the CEO's leadership capabilities, such as conducting research, preparing reports and presentations, and drafting meeting agendas.
  • Maintain close communication with the CEO to keep them informed of upcoming commitments and responsibilities, anticipating their needs in advance.
  • Serve as a liaison between the CEO and other employees, ensuring smooth communication and fostering trust with the Senior Executive Team.
  • Provide administrative assistance to the Chair and Board of Directors, including scheduling meetings and preparing necessary documentation.
  • Collaborate with the Chief of Staff and Marketing team to prepare correspondence for internal announcements and Board meetings.
  • Conduct preliminary research and analysis to support the CEO's decision-making processes.
  • Handle ad hoc requests, including personal matters, as required.

Qualifications

  • Minimum of 2 years of experience in providing executive support to C-suite executives.
  • Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Exceptional verbal and written communication skills, capable of engaging with senior stakeholders effectively.
  • Strong organizational skills with keen attention to detail, able to prioritize tasks efficiently.
  • Ability to work independently and maintain confidentiality with a high level of professionalism.
  • Proven ability to respond swiftly to urgent situations and make informed decisions.
  • High integrity and discretion in handling sensitive information.
  • Effective time management skills, capable of meeting deadlines in a dynamic environment.
  • Flexible cognitive skills, comfortable transitioning between strategic and operational tasks.
