Job Title: Sales Administrator/ Order Taker

We are seeking an experienced Sales Administrator/ Order Taker to join our team at Progresso Search. As a key member of our sales team, you will be responsible for processing high-volume sales orders and providing exceptional customer service.

Key Responsibilities:
  • Process sales orders via telephone, email, Excel, and bespoke food and beverage platforms.
  • Verify orders for accuracy and completeness, and resolve any discrepancies.
  • Communicate with customers regarding out-of-stock items, delivery schedules, and order status.
  • Liaise with drivers, transport managers, and the Leeds depot to ensure timely and accurate deliveries.
  • Organize last-minute courier services for customers requiring additional stock.
  • Generate invoices and credit notes for orders, and process returns and refunds.
  • Maintain accurate records of customer interactions, orders, and deliveries.
  • Collaborate with buyers to resolve stock issues and prepare daily out-of-stock lists.
  • Process free stock, samples, and collections for buyers and account managers.
  • Prepare volume reports for customers and update courier spreadsheets.
  • Take card payments over the telephone and scan and file invoices.
  • Provide exceptional customer service, responding to queries and resolving issues in a timely and professional manner.
Requirements:
  • Excellent telephone manner and communication skills.
  • Attention to detail and ability to multitask.
  • Good working knowledge of Excel and ability to learn new systems.
  • Ability to remain calm under pressure and work in a fast-paced environment.
  • Evidence of taking complex orders in previous roles.
Working Hours:

The normal working week will comprise of 39.5 hours per week, with a mix of early starts, late finishes, and standard hours. Saturday's will be worked on a rota basis, and bank holidays will also be operated on a rota basis and paid as overtime.

Please note that the early and late shifts will not start until the probation period has been signed off.
