POSITION SUMMARY
The Sales Operations Coordinator plays a pivotal role in managing client accounts and ensuring seamless communication between various departments.

ACCOUNT MANAGEMENT
Demonstrates a comprehensive understanding of the account portfolio through regular analysis of key reports.

DAILY REPORTING
Review the end-of-day telesales report, ensuring that any issues are promptly addressed with Account Managers and Sales Support. Maintain direct communication with Telesales to discuss outcomes and resolutions.

WEEKLY REPORTING
Conduct a thorough review of the 5 Weekly report on Diver, focusing on business retention and addressing any concerns with Account Managers. Proactively contact customers to resolve issues, and review contentious accounts with the Sales Manager.

New accounts will be monitored weekly by Sales Support for the initial four weeks to confirm order placement and identify any early challenges.

MONTHLY REPORTING
Analyze the Lost in Month Report, which provides a rolling 12-month overview across all categories. This report will be shared with Account Managers for review, followed by discussions with Sales Support and the Sales Manager to determine necessary customer outreach.

Compile a monthly review of non-trading accounts and provide Telesales with lists for follow-up. Gather and analyze feedback from these interactions.

PROSPECTING
Sales Support will monitor web leads and ensure that prospecting logs are consistently updated. Each Account Manager should maintain a working list of 20 prospects, replacing any that are converted or deemed unviable.

Maintain a detailed prospect spreadsheet, documenting essential information such as prospect names, appointment dates, quote dates, and customer service call dates.

SALES MEETINGS
Prepare for team meetings by compiling relevant reports on prospecting activities, including engagement levels and conversion rates.

WINE TEMPLATES
Coordinate the addition of new wine lists to the system once approved by clients, ensuring compliance with all agreements.

TEAM COLLABORATION
Engage proactively with team members, contributing positively during meetings and preparing presentations as needed. Collaborate with Telesales to drive weekly promotions and ensure all team members have access to necessary reports.

REPORTING
Send retention reports to Sales Managers weekly, along with the Prospect Log and monthly summaries to keep all stakeholders informed.

CATEGORY KNOWLEDGE
Possess a strong understanding of key category brands, including Wine, Spirits, Beer, and Soft Drinks, and stay informed about brand performance within each category.

KEY SKILLS
Exhibit excellent customer service skills, proficiency in Microsoft Excel, and familiarity with Diver or similar systems. Demonstrate the ability to utilize the trinity system effectively.
