We are seeking a highly organized and detail-oriented Administrator to join our team at Purple Panda Recruitment Ltd. As an Administrator, you will play a crucial role in supporting the Finance and Administration Manager and Coordinator in the efficient and effective running of the business.
Key Responsibilities:- Maintain accurate and up-to-date records and databases, ensuring seamless communication and collaboration with the Project Management team and Directors.
- Prepare and process quotations, estimates, and pro-forma invoices for clients, working closely with the Project Management team and Directors to ensure timely and accurate delivery.
- Provide exceptional customer service, responding to internal and external calls, and redirecting or taking messages as necessary.
- Manage and maintain the main business email accounts, responding to emails and processing documents as required, including onward distribution to relevant team members.
- Assist with the reconciliation of paperwork for VAT returns, ensuring accuracy and compliance with regulatory requirements.
- Manage incoming post, processing paperwork and distributing parcels efficiently and effectively.
- Coordinate stationery and catering requirements, placing orders with suppliers as necessary to ensure seamless operations.
- Support other members of the Finance and Administration team with ad-hoc tasks, demonstrating flexibility and a willingness to learn and adapt.
To succeed in this role, you must be IT literate, logical, and disciplined, with excellent administration skills. You should be able to create an efficient workflow, using your own initiative to organize and prioritize tasks, and be thorough and detail-oriented. A polite and professional approach, with a positive telephone manner, is essential.
