Key Responsibilities

Within the Surgery Directorate, we highly value our Physiotherapy Specialists, who are integral to the smooth operation of our Clinical Services, ensuring that patient care remains our top priority. Within the Head and Neck Specialty Business Unit, we cater to urgent, routine, and cancer patients in outpatient clinics and surgical settings.

This role is dynamic and diverse; each day presents new challenges. As a Physiotherapy Specialist, you will engage in various administrative and clinical tasks, maintain regular communication with patients and all members of the Clinical Team, and ensure the efficient operation of the OMFS Department, striving to provide optimal care for our patients.

Detailed Job Description and Main Responsibilities

· Deliver secretarial and administrative support to Consultants and their Clinical Team by managing incoming correspondence, disseminating information, composing reports, maintaining organized filing systems, scheduling appointments, and continuously enhancing administrative practices to ensure efficiency.

· Act as a representative of the Head and Neck Specialty Business Unit, addressing external and internal inquiries from staff, patients, and others, and directing them to the appropriate personnel while maintaining professionalism and courtesy.

· Address customer concerns via telephone or in person to achieve immediate local resolution whenever feasible, adhering to the Trust's complaints procedure.

· Communicate effectively with a variety of staff, users, and visitors to the Trust/Department using various communication methods, ensuring information is conveyed in an appropriate format.

· Follow up on all issues with relevant parties as necessary to ensure deadlines are met.

· Maintain efficient administrative systems, including tracking and message-taking.

· Organize and prioritize your workload and delegate tasks to the Support Secretary and Typist, ensuring that files and documents are current and available, providing briefings for daily activities, and highlighting deadlines and potential conflicts of interest.
