Supply Chain Sales Administration Specialist

Key Responsibilities

Reporting to the TCL UK Supply Chain Manager, the Supply Chain Sales Administration Specialist will undertake the following duties:

1) Sales Administration

Manage Electronic Data Interchange (EDI) customer purchase orders or manually track customer orders.

Verify purchase order pricing against the net2 price list; handle sales order acceptance and creation in SAP.

Update purchase orders in the order file and monitor stock allocation accordingly.

Coordinate with the finance department regarding cut-off price releases in SAP.

Prepare logistics: Consolidate goods for full truck deliveries, ensure repacking aligns with order quantities and EU certified pallet requirements, and optimize truck loadings.

Schedule delivery appointments with customers.

Source transportation: Identify trucking options and communicate with logistics providers to confirm pricing.

Issue shipping instructions for warehouses and factories.

Oversee production, loading, palletization, and logistics requests, ensuring compliance with loading quantities.

Track truck arrivals and delivery statuses until completion.

Manage proof of delivery (POD) documentation and provide copies to customers as needed.

Generate invoices, debit and credit notes, and sales returns, distributing them to customers and Key Account Managers (KAMs).

Maintain daily order fulfillment files, updating order statuses and liaising with KAMs, customers, forwarders, warehouses, and other relevant departments.

Provide customers with requested information and responses to inquiries.

Compile weekly and monthly sales and supply chain reports summarizing order activity.

2) Coordination of Goods Supply

Collaborate with the Planning Manager to verify product availability dates and manage goods allocation.

Provide KAMs with timely availability and delivery information.

Gather and coordinate availability and delivery details, including product dates and locations.

Facilitate inbound shipments of products from international suppliers.

3) Invoice Management

Review and approve transport invoices, entering detailed information into the logistics file.

Record purchase and transport costs for each shipment.

4) Reporting

Prepare and present sales reports for management on a weekly and monthly basis.
