Position Overview

The successful candidate will provide support to the Facilities Managers in the daily operations of the multi-functional Facilities Department, ensuring optimal use of resources.

Reporting directly to the Facilities Managers, the role involves assisting in the delivery of services that comply with National Standards.

The individual will be tasked with overseeing and managing the soft FM centralized information system, ensuring that all incoming data is accurately recorded within the management system. This includes achieving precise and equitable reporting in line with National Standards, while adhering to relevant policies, procedures, and legislation.

We are looking for a candidate who is enthusiastic and self-motivated, possessing strong communication and organizational skills, along with a methodical approach to problem-solving. Experience in administrative roles within a busy office setting is essential, as are excellent keyboard skills and proficiency in MS Office. Previous experience within the NHS is advantageous. The role requires a commitment of 37.5 hours per week, Monday to Friday.

Key Responsibilities

  • Assist Facilities Managers in the line management of facilities personnel, including HR functions, recruitment, performance reviews, mandatory training, and compliance.
  • Support adherence to Trust Infection Prevention Control (IPC) and Control of Substances Hazardous to Health (COSHH) policies during domestic service tasks.
  • Contribute to the Facilities Management in Patient Led Assessments of the Care Environment (PLACE) program, including scheduling and data entry for assessments.
  • Assist in investigations and complaints in accordance with the governance and complaints guidelines of the directorate.
  • Maintain a working knowledge of Health & Safety and COSHH regulations.
  • Ensure clear and effective communication with various organizations and individuals.
  • Facilitate the communication of information, emphasizing the importance of tasks and projects to staff and management.
  • Manage data entry, text processing, and the organization of data compiled by other Facilities team members.
