About the Role

We are seeking a highly skilled Deal Desk Operations Specialist to join our team at Aspen Technology. As a key member of our Sales Operations function, you will play a critical role in supporting our global sales teams to achieve their sales objectives.

Key Responsibilities
  • Quote Management: Generate both standard and non-standard quotes to support sales efforts, including software, maintenance renewals, and services-related orders.
  • Support to Sales Team: Provide support and assistance to the Sales team as needed to support the quote to contract process.
  • Collaboration with Cross-Functional Teams: Collaborate with Sales, Licensing, and Accounting to enter customer orders.
  • Authorization and Approvals Policy: Administer the Authorization and Approvals policy (A&A policy) coordinating the approval process by obtaining approvals per policy and ensuring compliance to both process and policy.
Order Process Management
  • Quote Preparation: Based on sales requests, prepare quotes, review for accuracy and completeness, and obtain required approvals per policy.
  • CRM System Updates: Update in-house CRM systems to ensure up to date information is readily available.
  • Order Closure and Invoicing: Provide general data to Finance to close orders and process them for invoicing.
  • Support to Global Sales Admin Team: Provide support and assistance to the Global Sales Admin Team as and when required.
Licensing Administration
  • License Configuration: Support license administration by preparing required documentation, ensuring customer requirements from quotes and contracts are accurately reflected in the license configuration details.
Document Handling and Coordination
  • Documentation Requirements: Demonstrate understanding of the documentation requirements for each process.
  • Document Security: Ensure all documentation is secured in the appropriate system(s).
  • Sales Forecast and Reporting: Demonstrate familiarity with current sales forecast and provide various reports as needed.

  • Relationship Management: Strong relationship management and communication skills (ability to work with and manage the expectations of business partners and understand customer requirements).
  • Geographically Dispersed Teamwork: Ability to work effectively within a geographically dispersed group.
  • Time Management: Ability to work under pressure to deadlines.
  • Self-Motivation: Self-motivated with ability to learn complex systems quickly.
  • Organization and Multitasking: Well organized and methodical. Detail-oriented and capable of multi-tasking efficiently.
  • International Sales Experience: Experience working in a fast-paced international sales environment.
  • Additional Hours: Able to work additional hours during peak periods.
Preferred Qualifications
  • Commercial Quote Experience: Experience working on commercial quotes, commercial/technical proposals, order preparation, and ERP systems.
  • Back Office Business Applications: Knowledge of back office business applications such as Epicor, Oracle, and Salesforce.
  • Intermediate Excel Skills: Intermediate knowledge of Excel.
  • Language Requirements: English (required), second language skills would be advantageous but are not essential.
