Job Title: Film and TV Assistant

Casarotto Ramsay & Associates LTD is seeking a highly organized and detail-oriented Film and TV Assistant to join our team. As a Film and TV Assistant, you will provide administrative support to our film and TV agents and their clients.

Key Responsibilities:
  • Manage the diary and set meetings for your manager and their clients.
  • Read and report on material sent in for clients, including treatments, bibles, and scripts, and send feedback notes.
  • Keep on top of a busy inbox and take and field incoming emails.
  • Keep track of contracts and circulate them for signature, either physically or electronically, and chase up as necessary.
  • Prepare Word documents for booking notices using information from contracts, including details of payments to be invoiced.
  • Organize travel, accommodation, and meeting itineraries for festivals or set visits, and provide information needed in advance of meetings.
  • Research production companies to submit client projects when requested by the agent.
  • Track film and television projects and update project information on the database, as well as track and identify talent.
  • Ensure that we have up-to-date details of where producers and executives currently work, and their previous credits and development projects.
  • Forward or handle festival invitations and press requests.
  • Read and discuss clients' work, including scripts.
  • Update credits and images on client pages of our website and tweet, source publicity and production stills as needed.
  • Provide pre-written client bios for OWA/ODAs on request.
  • Take minutes in meetings occasionally.
  • Keep track of client 'welcome packs' and co-representation agreements and contracts.
  • Create and maintain Casarotto Vimeo account client profiles.
  • Make enquiries with publishers and publishing agents to discover whether film and TV rights are currently available.
  • Work with the Finance team to keep on top of invoicing.
  • Manage and administer client guild memberships, such as WGA/DGA/WGGB/ALCS.
Requirements:
  • Knowledge of and interest in the film and TV industry.
  • Computer literate, with excellent knowledge of Microsoft Office programs.
  • Experience in an administrative or office-based role, in any industry.
  • Exceptional attention to detail, organizational, and forward-planning skills.
  • Excellent interpersonal and communication skills, and confident telephone manner.
  • Ability to maintain confidentiality.
