Churchill Estates Management (CEM) is excited to announce an opportunity to join our dynamic Property Services Team as a Planner and Works Co-ordinator.
Role Overview
In this pivotal role, reporting directly to the Property Services Director, the Planner and Works Co-ordinator will be responsible for orchestrating and managing property-related major works in compliance with Section 20 legislation. This position will also support asset management administration across a diverse portfolio of retirement developments throughout the UK.
The successful candidate will ensure that property-related initiatives are executed effectively, adhering to budgetary constraints and timelines, while collaborating with various internal and external stakeholders to maintain clear communication throughout each project.
In conjunction with the Property Services team, this role is crucial for the management of the CEM portfolio, ensuring that high-quality and sustainable solutions are provided to our developments and clients.
Key Responsibilities
Define key project milestones and coordinate the workflow, applying robust project management techniques.Establish and nurture professional relationships with external contractors and suppliers.Maintain consistent communication with Homeowners, RTM Directors, Landlords, internal teams, and contractors throughout the project lifecycle.Serve as a primary liaison between departments such as Administration, Property Services, Operations, and Finance.Oversee financial management of projects by understanding contingency allocations and prioritizing work programs to ensure appropriate fund utilization.Identify potential risks and communicate them to the Property Services team and stakeholders; mediate conflicts to guarantee project success.Generate detailed written reports using Microsoft Office to update CEM board members on project progress.Manage and coordinate Permissions / Alterations requests, collaborating with in-house Building Surveyors as necessary.Participate in project meetings on behalf of Property Services to provide updates and escalate any risks that require attention.
Additional administrative duties may include compiling work specifications, managing tender processes, verifying contractual details, issuing Section 20 notifications, handling Dispensation requests, processing Purchase Orders, and general office administration tasks.
Candidate Profile
We are looking for a Planner and Works Co-ordinator who possesses a solid understanding of Section 20 legislation, along with experience in property-related remedial works and project management. This role is ideal for individuals with backgrounds in construction customer care, project coordination, planning, or similar positions within the property sector.
Your approach should be confident, organized, methodical, and professional, with the ability to manage multiple tasks simultaneously while demonstrating resilience and meticulous attention to detail. You will need to be assertive to maintain momentum and ensure quality outcomes from contractors.
Exceptional communication skills are essential, with proficiency in both written and spoken English to effectively manage expectations at all levels, including Board level.
Proficiency in MS Office applications, particularly MS Excel, is required at an intermediate level.
