Position Overview
The successful candidate will provide vital support to the Administration Line Managers and Service Coordinators by ensuring a professional, efficient, and effective administrative service to patients and visitors, adhering to the policies and standards of the Royal Devon and Exeter NHS Foundation Trust.
Key Responsibilities:
- Coordinate and organize patient attendance for outpatient, inpatient, and day case appointments, following local team and Trust protocols.
- Manage all administrative processes and inquiries efficiently and promptly, adhering to established standard operating procedures and escalating issues to senior management as necessary.
- Perform general clerical duties to optimize available capacity effectively.
- Set up and modify clinics as needed, ensuring room availability is coordinated appropriately.
- Maintain the security of all information and uphold confidentiality at all times.
- Deliver exceptional customer service, which may involve communicating with distressed and anxious patients and their families, treating them with compassion and understanding.
Additionally, the role includes assisting and supporting other members of the administrative team across the department or division, which may involve handling telephone inquiries and resolving straightforward questions from patients, their caregivers, and visitors.
About the Role:
This position offers an exciting opportunity to work within a dynamic Cardiology team, specifically with the Echocardiography Clinical team. We seek a full-time Service Administrator who thrives in a busy and vibrant environment, can prioritize tasks effectively, and remains composed under pressure.
The ideal candidate will possess excellent communication and interpersonal skills, along with proven experience in managing service user interactions over the phone. Flexibility, adaptability, and strong IT skills are essential.
Applicants should be eager to embrace the challenges of working within a busy team while also demonstrating the ability to use their initiative to meet the evolving needs of the Cardiology Echocardiography Service.
Working Hours: Monday to Friday, 9 am - 5 pm.
