About the Role:
We are a dynamic group of companies delivering commercially focused legal advice and solutions, HR support, wellbeing and training, mediation, and dispute resolution services to a variety of clients. As a key member of our team, you will play a vital role in supporting our Managing Director in their daily operations.
Key Responsibilities:
- Act as a central point of contact among Leadership team, employees, clients, and suppliers, providing exceptional communication and interpersonal skills.
- Screen phone calls on behalf of the MD, ensuring timely and efficient communication.
- Utilize our CRM system proactively to help the MD manage and develop client relationships, driving business growth and success.
- Coordinate networking events, complete purchase orders, and arrange travel and accommodation as required.
- Arrange travel, catering, and accommodation for the MD as needed.
- Prepare and compose correspondence and documents, ensuring accuracy and attention to detail.
- Collate non-client documents for review and/or signing by the MD.
- Provide private support to the MD as required, maintaining confidentiality and discretion.
- Plan and book team events as needed, fostering a positive and collaborative team environment.
- Undertake ad-hoc project work as required, demonstrating flexibility and adaptability.
- Answer telephone calls in a professional and friendly manner, providing excellent customer service.
- Meet and greet visitors to the office, ensuring a warm and welcoming experience.
- Provide clerical, secretarial, and organizational support, including drafting/making amendments to correspondence and documents, and copy typing for the Managing Director.
- Take phone calls, provide information to callers, and take and pass on messages in a professional and timely manner.
- Manage emails and contacts using Pipedrive, ensuring efficient and effective communication.
- Proactively address problems in the office, working independently or with others to identify solutions.
- Typing speed of at least 60 wpm, with excellent Microsoft Word and Excel skills.
