Lavender Jones Recruitment is seeking an experienced and skilled Personal Assistant to join our client's team as a Travelling PA. This is a unique opportunity to work with a high-net-worth individual and their family, providing exceptional support and discretion in a fast-paced and dynamic environment.
Key Responsibilities
- Assist with the daily requirements of a high-net-worth individual and their family, maintaining the highest level of discretion and confidentiality.
- Manage the principal's diary, scheduling meetings and calls across multiple time zones, and ensuring all relevant correspondences, notes, and context are added to appointments.
- Handle inbox management, prioritizing relevant emails and responding in a timely manner, as well as writing formal emails and letters on behalf of the principal in both English and French.
- Act as a gatekeeper for all incoming calls, fielding requests, following up appropriately, and keeping the principal well-informed.
- Plan and organize all travel and holidays, including villa/hotel bookings, flight arrangements, private jet transportation, transfers, and drivers.
- Coordinate events, such as dinners, family parties, and weekend trips.
- Maintain a filing system of all relevant documents, artworks, and other materials.
- Book restaurant reservations and doctor/dentist appointments.
- Perform other ad hoc personal errands as required.
- Source gifts for friends and family, including extensive Christmas presents.
- Establish and maintain relationships with the other travelling PA, private travelling team, and household staff in various countries to ensure seamless operations and preparation for the principal's arrival.
- Act as a 'barometer,' having a sense of the issues taking place in the environment and amongst the staff team, and providing support accordingly.
Requirements
- At least 5 years of experience as a Personal Assistant to a high-net-worth individual or family.
- Fluent French language skills.
- Valid driving license.
- Ability to multitask, prioritize, and build relationships with people at all levels.
- Articulate, deeply organized, forward-thinking, proactive, warm, easy-going, and possessing heaps of common sense.
- Calming presence, with the ability to push back when needed and express opinions when asked.
- Flexibility and willingness to be on call outside of standard hours.
