Position Overview:

The role involves leading and enhancing the stock administration team while providing essential support functions. The objective is to ensure streamlined processes, effective communication, and prompt resolution of any issues that arise. This position includes direct management and development of the Stock & Admin team, focusing on training, performance, and attendance management.

Working Schedule: Monday to Friday

Compensation: £31,000 per annum

Key Responsibilities of a Stock Administration Team Supervisor:

  • Conduct regular performance development assessments with team members, offering constructive feedback and guidance for continuous improvement.
  • Oversee and maintain the departmental schedule, ensuring sufficient coverage during peak times and managing both planned and unplanned absences.
  • Collaborate with HR and the depot People Plan to spearhead initiatives aimed at enhancing processes and individual performance, nurturing a culture of innovation and development.
  • Prepare and present daily operational reports and hold monthly one-on-one meetings with team members to promote open communication and alignment with objectives.
  • Develop, document, and implement standardized stock administration procedures, providing thorough training to team members for optimal execution.
  • Establish robust working relationships with warehouse management to identify and address operational challenges, driving ongoing improvements in all stock administration activities.
  • Manage incoming bookings, ensuring efficient use of site storage capacity. Facilitate smooth transitions of responsibilities during holiday periods, including clear communication of relevant report numbers.
  • Oversee all pallet inventory, ensuring adequate availability and compliance with site par levels, along with necessary reporting and invoicing.
  • Compile and deliver accurate data for KPI reporting, ensuring transparency and informed decision-making.
  • Foster and maintain professional relationships with clients and hauliers, promoting effective communication and collaboration.
  • Ensure accurate recording of trailers returning to the site and prioritize their processing, escalating to the Stock & Admin Manager if not addressed within 24 hours.
  • Complete any additional tasks as required by the site management team.
  • Act as a deputy for the Stock & Admin Manager in their absence.

Qualifications:

  • Proficiency in Microsoft Excel, Word, or similar software.
  • Understanding of exceptional customer service principles and practices, with a commitment to building strong relationships.
  • Ability to work collaboratively, contribute to a team environment, and support colleagues effectively.
  • Strong verbal and written communication skills, including active listening and clear expression of ideas.
  • Aptitude for data analysis, identifying trends, and drawing conclusions to support decision-making.
  • Flexibility to adapt to changing priorities and manage multiple tasks efficiently under pressure.
  • Skill in organizing and prioritizing workload to meet deadlines and achieve results.
  • Proactive approach to identifying and resolving issues, with the ability to work independently and take ownership of tasks.
