Position Overview

We are excited to announce an opportunity to join our Facilities department as a Facilities Compliance Coordinator.

Key Responsibilities:

  • Assist the Facilities team in maintaining comprehensive records related to health and safety and various compliance areas.
  • Help manage both planned and reactive maintenance logs, coordinating with external contractors and service providers as needed, ensuring all documentation is current and accurate.
  • Oversee the administration of statutory compliance certificates.
  • Schedule appointments for health and safety assessments and other compliance-related tasks, updating records accordingly.
  • Facilitate Employee Wellbeing initiatives.
  • Support the administration of Lone Working protocols.
  • Assist the Senior Estate and Projects Team Manager with HR-related functions, including tracking holiday entitlements, recording absences, and maintaining a training matrix.
  • Process purchase orders and invoice requisitions, including the procurement of personal protective equipment (PPE).
  • Administer and issue employee and contractor access passes.
  • Contribute data for Key Performance Indicator (KPI) reporting systems, including incidents, accidents, and near misses.
  • Coordinate room bookings and assist with diary management for the team.
  • Support various events as required.

Required Skills & Knowledge:

  • Strong administrative capabilities and proficiency in PC applications, including MS Office and MS SharePoint, with a willingness to learn internal and Computer-Aided Facilities Management (CAFM) systems.
  • Exceptional verbal and written communication skills, with the ability to build effective relationships with vendors and stakeholders.
  • Experience with Facilities Management Systems is advantageous.
  • Meticulous attention to detail in data entry and record maintenance.
  • Highly organized and professional, with the ability to prioritize tasks effectively.
