About the Role

We are seeking a highly organized and detail-oriented Facilities Administrator to join our team at Aston Martin F1 Team. As a key member of our Facilities team, you will play a crucial role in supporting the maintenance of records, ensuring compliance, and providing administrative support to our team.

Key Responsibilities
  • Record Management: Maintain accurate and up-to-date records of health and safety, compliance, and maintenance activities.
  • Maintenance Coordination: Support the Facilities team in maintaining planned and reactive maintenance logs, including liaison with external contractors and service providers.
  • Administration: Administer statutory certificates, arrange bookings for health and safety and compliance work, and update records as necessary.
  • Employee Support: Provide administrative support for Employee Wellbeing, Lone Working, and other related tasks.
  • HR Support: Assist the Senior Estate and Projects Team Manager with HR-related tasks, including holiday entitlement, absence recording, and training matrix.
  • Procurement: Raise purchase and invoice requisitions, including ordering of PPE.
  • Pass Administration: Support the creation and administration of employee and contractor passes.
  • Data Management: Provide data for KPI reporting systems, including incident, accident, and near misses.
  • Diary Management: Book rooms and support diary management for the team.
Requirements
  • Administration Skills: Excellent administration and PC literacy skills, including MS Office, MS SharePoint, and ability to learn internal and CAFM systems.
  • Communication Skills: Excellent verbal and written communication skills, with the ability to interface well with vendors and ensure positive relationships.
  • FM Experience: Experience in FM Management Systems would be an advantage.
  • Attention to Detail: High attention to detail and data input and record keeping.
  • Organizational Skills: Organized, professional, and able to prioritize work tasks.
