Job Title: Facilities Coordinator

We are seeking a highly organized and proactive Facilities Coordinator to join our team at Savills Management Resources. The ideal candidate will be responsible for ensuring the smooth operation and maintenance of our facilities, providing a safe and efficient working environment for all employees.

Key Responsibilities:
  • Reporting to the Facilities Manager, oversee the daily operations of three client sites in Southampton.
  • Manage and oversee Soft and Hard Services, ensuring compliance with health and safety regulations.
  • Based at Hampshire House, travel between sites to coordinate with external vendors and service providers.
  • Conduct regular inspections, actioning recommendations to maintain 100% compliance.
  • Coordinate with contractors, manage works, and oversee PPMS and small projects.
  • Raise Purchase Orders on Proactis and the client's portals, ensuring timely and efficient procurement.
  • Provide cover to the Receptionist for lunch cover and some ad-hoc annual leave.
Requirements:
  • General Education to GCSE standard with an A-C grade in English & Maths or equivalent standard.
  • Excellent communication skills, ability to deal with confidential information.
  • Good organizational and time management skills, with the ability to prioritize workload and multitask in a calm and professional manner.
  • Able to work under pressure to deadlines, with a strong attention to detail.
Desirable:
  • Proven experience in facilities management or a similar role.
  • Proficient in a full range of Microsoft applications, including Word, Excel, PowerPoint, Access, Outlook.
  • Understanding of office administration within a facilities management/property management context.
  • Experience of dealing with senior level staff confidently, with excellent verbal and written communication.
