Key Responsibilities- Administrative Support: Provide high-level administrative support to the CEO and Chair, including managing their diaries, coordinating meetings, and preparing reports and presentations.
- Communication and Liaison: Communicate effectively with internal and external stakeholders, including ICS partners, MPs, and other senior executives.
- Diary Management: Plan and organize the complex diary commitments and work priorities of the CEO and Chair, ensuring that the needs of meeting delegates are met.
- Travel Arrangements: Organize travel itineraries and accommodation requirements for the CEO and Chair, ensuring the best use of time and budget.
- Event Planning: Plan and organize workshops and seminars, including selecting venues and providing materials for multi-disciplinary attendance.
- Documentation and Reporting: Prepare and update documentation, reports, and papers for the CEO and Chair, including action logs and minutes of meetings.
- Team Support: Provide support to the Executive Office team, including coordinating meetings, preparing materials, and maintaining records.
- Compliance and Governance: Ensure that the Executive Office is compliant with policies on data security and protection, records management, and other relevant areas.
- Education and Experience: Educated to degree level in a relevant subject or equivalent level of experience in a similar role.
- Communication and Interpersonal Skills: Clear communicator with excellent writing, report writing, and presentation skills.
- Organizational and Time Management Skills: Ability to work on own initiative, organize own workload, and work to tight deadlines.
- Technical Skills: Proficient in using Microsoft Office and other relevant software.
