Position Overview:
The Operations Coordinator is responsible for executing administrative tasks that enhance the operational efficiency, effectiveness, customer satisfaction, and profitability of the branch.

This role emphasizes delivering exceptional customer service and maintaining clear communication with both internal and external stakeholders.

Key Responsibilities:

  • Financial Management:
    Oversee the accounts receivable process and maintain local collection contacts to support centralized operations. Monitor lease agreements, contract maintenance, and special billing on a weekly and monthly basis, proactively resolving any issues to ensure customer satisfaction and branch profitability.
  • Fleet Management:
    Handle fleet service activities, including licensing, permitting, and managing vehicle service schedules. Coordinate asset services such as vehicle maintenance records and vendor support for non-maintenance related tasks.
  • Process Improvement:
    Conduct analyses and reviews in various operational areas, such as billing and accounts receivable. Investigate issues that may impact profitability and recommend effective solutions.
  • Administrative Support:
    Maintain personnel files, manage payroll processes, and assist with onboarding paperwork for new hires. Support projects and tasks as directed by financial management.

Qualifications:

  • High school diploma or equivalent required; degree preferred.
  • Strong interpersonal skills with the ability to collaborate effectively with team members.
  • Excellent written and verbal communication skills.
  • Minimum of 2 years of experience in customer service or financial administration.
  • Ability to learn quickly and engage in collaborative projects.
  • Proficient in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
  • Regular attendance is a critical function of this role.
  • Willingness to travel as needed and adhere to the required work schedule.

Physical Requirements:
The physical and mental demands of this position include the ability to read, communicate effectively, and analyze information. The role may require standing, walking, and sitting, as well as the ability to lift and move items up to 25 lbs.
