A prominent investment firm is seeking a remarkable Executive Assistant to provide top-tier support to a newly appointed global head of HR and a senior manager.

The workplace is fast-paced and demanding – are you prepared to thrive in this dynamic and fulfilling position?

Key Responsibilities:

  • Serve as the main point of contact for all incoming communications to the office
  • Manage busy schedules, including travel arrangements and meeting coordination across different time zones
  • Establish and nurture professional relationships with both internal and external stakeholders
  • Handle sensitive meeting documents and information with the utmost confidentiality
  • Compose correspondence and create reports and presentations using PowerPoint
  • Organize intricate global interview schedules
  • Maintain and update the recruitment database and tracking systems
  • Collaborate with internal teams and external recruitment agencies
  • Coordinate training events from inception to completion
  • Act as the liaison for external training providers
  • Oversee logistics for the annual HR Retreat
  • Manage invoices and expenses related to training activities
  • Participate in weekly HR team discussions
  • Contribute to special HR projects as needed

Essential Skills:

  • Proven experience as an Executive Assistant within a Professional or Financial Services environment
  • Exceptional attention to detail
  • Strong sense of urgency and prioritization
  • A resourceful and pragmatic mindset
  • Highest level of discretion
  • Proficient in Microsoft Office Suite
