We are seeking a skilled Procurement Administrator / Supply Chain Coordinator for a reputable SME located in a vibrant area. This organization has been a key player in its field for over 25 years, providing premium products across diverse sectors.

In collaboration with fellow Procurement Administrators, you will be responsible for negotiating pricing and logistics, ensuring accurate and timely order processing in SAP, and keeping essential stakeholders updated on order statuses.

Key Requirements for Procurement Administrator / Supply Chain Coordinator

  • Proven experience in procurement is a must
  • Familiarity with international trade is advantageous
  • Strong numerical skills are essential, as pricing calculations involve various factors such as transport costs, import duties, currency conversions, and industry taxes
  • Proficiency in Excel is required for managing pricing matrices from suppliers
  • A level or degree or equivalent educational background is necessary

Responsibilities of the Procurement Administrator / Supply Chain Coordinator

  • Negotiate pricing and availability with relevant suppliers.
  • Evaluate product samples and establish comprehensive specifications.
  • Collaborate with the Sales Team on new product initiatives as needed.
  • Calculate final purchase costs for the Sales Team, incorporating exchange rates, import duties, and transport fees.
  • Update and monitor quote requests and supplier pricing in SAP.
  • Develop monthly internal pricing matrices for the Sales Team.
  • Track trends in raw material and currency pricing, keeping the Sales Team and Operations Director informed of potential increases.
  • Foster strong supplier relationships through effective communication.
  • Report any supply chain issues during weekly Operations Team meetings.
  • Assist the Operations Director in identifying new suppliers for both existing and new products to enhance service and profitability.

Order Processing Duties of the Procurement Administrator / Supply Chain Coordinator

  • Create new product records in SAP, ensuring accuracy in specifications.
  • Update product records in SAP as necessary.
  • Verify all order documentation from the sales team, ensuring all details are correct.
  • Generate orders in SAP, including both sales and purchase orders, for approval by the Operations Director.
  • Secure Finance approval for customer orders exceeding credit limits.
  • Implement down payment processes for customers without credit.

Order Fulfillment Responsibilities of the Procurement Administrator / Supply Chain Coordinator

  • Dispatch purchase orders to suppliers.
  • Send sales order confirmations to clients.
  • Monitor supplier confirmations, recording dates in SAP and addressing any discrepancies.
  • Manage customer and supplier inquiries post-order to ensure timely delivery, escalating issues as necessary.
  • Build strong relationships with suppliers and customers through effective communication.
  • Ensure timely dispatch of containers from overseas suppliers and follow up on necessary documentation.
  • Maintain updated dispatch dates in SAP as information becomes available.
  • Utilize weekly SAP reports to review orders across all suppliers, ensuring customer lead times are consistently met.
  • Participate in Operations Team discussions regarding potential supply chain challenges and collaborate on action plans.
  • Coordinate with the Sales Team regarding drop ship orders as needed.
  • Process stock item orders in SAP and notify the Warehouse & Logistics Manager for physical stock handling.
