Administrative Coordinator

Are you interested in becoming a vital part of a leading global provider of sustainable packaging solutions? We are currently seeking a dedicated Plant Administrative Coordinator to join our dynamic team.
This role is essential in supporting the Plant Manager, Senior Management, and Engineering Team by delivering comprehensive administrative assistance. The successful candidate will play a key role in enhancing workplace culture and facilitating effective communication among our team members.
Key Responsibilities:- Deliver professional administrative support to the Plant Manager and Senior Management Team.
- Serve as the primary contact for facilities management, coordinating with site contractors and building strong partnerships.
- Oversee site services such as canteen and cleaning services, ensuring compliance with contracts and addressing any concerns.
- Organize and document meetings, tracking action items and ensuring follow-up as needed.
- Manage plant communications, acting as the communication champion for the site.
- Maintain site organization, ensuring that information boards and electronic data are up-to-date and relevant.
- Support daily meetings by documenting discussions and following up on action items.
- Ensure adequate supply of office materials, including ordering and maintaining stock levels.
- Create and manage purchase orders for the Plant Management Team, ensuring proper processing and invoice approval.
- Coordinate hospitality arrangements for on-site and off-site events, including refreshments and transportation.
- Handle incoming and outgoing mail, including courier arrangements as necessary.
- Facilitate contractor inductions, ensuring that records are current and accurate.
- Administer travel arrangements for visitors and management attending off-site meetings, adhering to company policies.
- Act as the point of contact for external communications directed to the site.
- Identify opportunities for performance enhancement within the plant.
- Provide coverage for other support functions during absences.
- Maintain confidentiality in all matters related to the role.
- Manage purchase orders and invoices related to engineering administration.
- Perform additional duties as required, adapting to the evolving needs of the role.
- Personable and approachable with a proactive attitude.
- Highly organized and efficient in task management.
- Able to multitask and prioritize effectively.
- Committed to continuous improvement in processes.
- Previous experience in a similar administrative role is preferred.
- Proficient in Microsoft Office applications.
- Self-driven and accountable for responsibilities.
