We are currently seeking a dedicated part-time (24 hours per week) Administrative Support Specialist to become a vital member of our welcoming and energetic team. As the initial point of contact for patients and visitors, you will play a crucial role in delivering high-quality service within our organization.
If you possess enthusiasm, motivation, and a readiness to embrace new challenges, you may be the perfect fit for our team. Flexibility in managing interruptions and exceptional communication skills are essential. You will be expected to engage with patients, caregivers, medical personnel, and other service users in a friendly and efficient manner, both in person and over the phone.
Experience in public interaction is essential. You should be a collaborative team player with outstanding interpersonal and organizational abilities. The capacity to work independently while maintaining high standards and possessing strong IT skills is also required.
Key Responsibilities
- Prepare for all appointments and admissions to ensure a seamless experience for patients.
- Provide a warm and welcoming reception service to individuals attending for care.
- Maintain accurate and organized case notes and related documents.
- Track medical records using the electronic patient administration system.
- Foster positive relationships with patients and staff while upholding confidentiality and adhering to information governance policies.
- Distribute departmental correspondence promptly and efficiently.
- Perform general office duties, including photocopying and preparing informational packs.
- Respond to internal and external inquiries in a timely manner, ensuring accurate message delivery.
- Ensure the accuracy and completeness of all electronic records in accordance with established policies and procedures.
