A prestigious legal firm is seeking an Office Administrative Coordinator to provide essential support to legal professionals and facilitate the efficient functioning of various departments within the organization.


This is a full-time role, operating Monday to Friday, and requires in-office attendance.

Main Responsibilities:

This position entails executing a variety of administrative functions, organizing documentation, managing appointments, and assisting with client interactions, including:

  • Initiating new client records and aiding in their onboarding by processing compliance documentation
  • Digitally archiving files and managing external storage
  • Organizing documents within appropriate client folders and subdirectories
  • Preparing outgoing and incoming correspondence
  • Updating the case management system
  • Assisting in the drafting and revision of legal documents
  • Aiding in the preparation of client invoices and final statements
  • Occasionally providing digital dictation support to Personal Assistants
  • Monitoring incoming funds and completing financial documentation
  • Verifying banking information
  • Assisting clients with document pick-up and drop-off as necessary
  • Coordinating schedules for legal professionals
  • Performing basic reception duties when needed
  • Delivering high-quality service to both internal teams and clients
  • Taking attendance notes and summarizing meeting discussions
  • Representing the firm at various events
  • Collaborating with the Accounts department on financial allocations
  • Preparing and submitting applications to the HM Land Registry, including SDLT submissions and searches
  • Managing electronic document signing processes
  • Understanding the capabilities and limitations of AI tools like Chat GPT

  • Excellent interpersonal skills, including effective communication both over the phone and in person

  • Awareness of current events and global geopolitical matters
Qualifications:

  • Essential: Five GCSEs (or equivalent) at grade 4 or above.
  • Desirable: Two A levels (or equivalent) at grade C or above
