About the Role

The Product Coordinator plays a vital role in the success of PerryGolf's escorted tours, reporting directly to the Director of Product and Sales. This position requires a unique blend of logistical management skills and a passion for crafting exceptional global travel experiences.

Key Responsibilities
  • Ground Service Arrangements: Request and confirm bookings for hotels, golf courses, ground transportation, guides, and other ancillary services, ensuring seamless communication with ground suppliers and trusted Destination Management Companies (DMCs).
  • Cruise Partner Liaison: Collaborate with the onboard teams of our cruise partner (Azamara) to provide detailed golf-group information.
  • Progress Updates: Keep ground suppliers informed of sales progress as required.
  • Logistical Planning: Establish optimal final arrangements and timings for ground transportation and golf arrangements, subject to finalized ship or flight timings.
  • Tour Planning: Create and maintain tour planning grids using standard company templates.
  • Final Information: Provide detailed final information to ground suppliers, including guest lists, timings, and agreed arrangements, based on standard company templates.
  • Invoice Management: Approve invoices and initiate payments to ground suppliers and host teams.
  • Cost Management: Record actual costs and reconcile against budgeted costs.
  • Relationship Management: Foster strong relationships with ground suppliers and DMCs to maintain high-quality standards.
  • Supplier Feedback: Provide feedback to the cruise and tour development team on supplier partner and DMC performance in delivering exceptional guest experiences.
Requirements
  • Experience: Minimum 3 years in office-based organizational and/or administrative work.
  • Background: Strong advantage to candidates with experience in travel, hospitality, or events management.
  • Skills: Superior verbal and written communication skills, with a passion for details; knack for problem-solving, details, and collaboration; strong organizational skills; map reading, geography, and logistical expertise; ability to build relationships through various mediums; understanding of foreign currency translation; ability to work on multiple projects concurrently, meet deadlines, respect budgets, and prioritize.
  • Technology: Intermediate to Advanced in Microsoft Office (including Outlook, Word, and Excel) and familiarity with databases.
  • Time Management: Efficient time manager able to multitask with involvement in multiple projects simultaneously.
  • Pressure Management: Cool head under pressure, with the ability to make quick and committed decisions to ensure optimum alternative arrangements and the best possible guest experience.
  • Personality: Personable and credible, with excellent communication skills, both verbal and written, to represent PerryGolf with ground suppliers and DMCs.
