Position Overview

The successful candidate will play a pivotal role within the ENT & Thoracic Admissions teams, overseeing the workflow and serving as the primary liaison for the Deputy Performance and Operations Manager.

A diverse background in coordination, preferably within a healthcare setting, is essential. Candidates should possess outstanding organizational and interpersonal abilities, along with the capacity to thrive in high-pressure situations. Initiative and self-direction are critical. The role involves interaction with patients, their families, and healthcare professionals, necessitating excellent communication skills and a courteous, efficient telephone demeanor. Proficiency in Microsoft Office applications such as Word, Excel, and Outlook is required.

The position entails working hours between 08:00 and 17:00, Monday through Friday.

Key Responsibilities

Communication Duties :

Manage patient communications through telephone and utilize Trust systems for generating letters, emails, and text reminders. Address escalated inquiries from the Inpatient Booking Team. Serve as a point of contact for queries from both clinical and non-clinical personnel. Escalate patient inquiries, capacity challenges, and breach details to the line manager as necessary.

Organizational Responsibilities

Assist the Deputy Performance and Operations Manager in meeting performance targets related to inpatient and day case waiting lists, escalating issues as needed. Monitor, manage, and validate active and backlog waiting list data. Coordinate all operating theatre bookings for consultant teams, ensuring compliance with local policies and optimal utilization of theatre and bed resources. Conduct investigations into patient 'did not attend' (DNA) cases, cancellations, and unconfirmed admissions, taking appropriate actions in accordance with established procedures. Initiate necessary actions to prevent patients from exceeding maximum waiting times and ensure timely notice and choice of admission dates. Validate RTT and performance data through effective use of operational reports. Attend relevant meetings as required by the line manager.

Knowledge & Experience

Essential

Administrative experience, including filing and/or reception duties. Experience in public-facing roles, both via telephone and in person.

Desirable

Experience in line management. Familiarity with Patient Administration Systems. Previous experience within the NHS.

Essential

Ability to engage effectively and courteously with individuals, both in person and over the phone. Capacity to work under pressure and meet deadlines while maintaining high accuracy standards. Ability to function effectively within a busy team, adapt to change, and inspire others. Capability to work independently while managing team dynamics. Confidence in handling challenging conversations with patients, families, and caregivers. Strong organizational skills. Proficient IT skills, including Microsoft Office applications. Qualifications and Training

Essential

Minimum GCSE grade C or equivalent in English Language and Maths. Business and Administration Level 3 NVQ or equivalent experience.
