Position Overview

The successful candidate will play a pivotal role within the ENT & Thoracic Admissions teams, overseeing the distribution of tasks and serving as the primary liaison for the Deputy Performance and Operations Manager.

The ideal applicant will possess a diverse background in coordination, preferably within a healthcare setting. Exceptional organizational and interpersonal abilities are essential, along with the capacity to thrive in high-pressure situations. Initiative and self-motivation are crucial for this role. The position involves interaction with patients, families, and healthcare professionals, necessitating outstanding communication skills and a professional telephone demeanor. Proficiency in Microsoft Office applications, including Word, Excel, and Outlook, is required.

The role demands a commitment to work during standard business hours, Monday to Friday, from 08:00 to 17:00.

Key Responsibilities

Communication Duties :

Manage patient interactions via telephone and utilize Trust systems to generate correspondence, including letters, emails, and text notifications. Address escalated inquiries from the Inpatient Booking Team. Serve as a contact point for queries from both clinical and non-clinical personnel. Report patient inquiries, capacity challenges, and breach details to the line manager as necessary.

Organizational Responsibilities

Assist the Deputy Performance and Operations Manager in meeting performance targets related to inpatient and day case waiting lists, raising performance concerns as needed. Oversee, manage, and verify active and backlog waiting list data. Coordinate all operating theatre schedules for consultant teams, ensuring compliance with local policies and optimizing theatre and bed utilization. Conduct investigations into any patient who did not attend (DNA) their admission, cancellations, and unconfirmed admissions, taking appropriate actions in accordance with established procedures. Initiate necessary actions to prevent patients from exceeding maximum waiting times and ensure they receive adequate notice and options for admission dates. Validate and govern RTT and performance data through effective use of operational reports. Attend relevant meetings as directed by the line manager.

Knowledge & Experience Requirements

Essential Qualifications

Experience in clerical or administrative roles, including filing and/or reception duties. Proven ability to engage with the public, both over the phone and in person.

Desirable Qualifications

Experience in line management. Familiarity with Patient Administration Systems. Previous experience within the NHS.

Essential Qualifications

Minimum of GCSE grade C or above (or equivalent) in English Language and Mathematics. Business and Administration Level 3 NVQ or equivalent experience.
