Job Overview

The role involves delivering comprehensive administrative and secretarial assistance to the Supported Accommodation Team.

Key Responsibilities

  • Oversee all clerical and administrative tasks within the team, ensuring precise and efficient support.
  • Handle general administrative functions related to staffing and personnel matters.
  • Assist management with monitoring financial transactions, including rents and arrears, procurement of goods, and other fiscal responsibilities.
  • Address inquiries concerning Temporary Accommodation and Sheltered Housing Services.

Candidate Profile

The ideal candidate will possess:

  • Proven experience in a similar administrative role within a dynamic office setting.
  • Strong proficiency in Microsoft Office applications, including Word, Excel, Outlook, and Microsoft Teams.
  • Experience in tracking financial transactions and utilizing financial management systems.
  • A relevant qualification in Business & Administration, with at least 4 SQA National 5 grades or equivalent at level 3 or above, including English and Mathematics.
  • A high degree of accuracy and attention to detail in all tasks.
  • The ability to take initiative and work independently.
  • Strong teamwork capabilities.
  • A commitment to delivering exceptional customer service.
  • Excellent organizational and time management skills to handle competing priorities.
  • Discretion in managing sensitive information and maintaining confidentiality.
  • Experience in maintaining and updating records and databases to ensure data integrity.
  • Familiarity with reviewing and enhancing administrative processes.
  • Experience in taking minutes during meetings.
  • Effective communication skills, both verbal and written, with the ability to engage with diverse individuals and situations using sensitivity and professionalism.
  • Willingness to accept guidance and collaborate effectively.
  • Flexibility to adapt to the needs of the service in a shared office environment.
