Position Overview
We are seeking a dedicated individual for a Part-Time role (3 days a week) to deliver a thorough and effective clerical and administrative service within our department. The successful candidate will be responsible for managing patient-related records and databases, scheduling appointments, and preparing necessary documentation.
This position involves working collaboratively within a team to provide essential clerical and administrative assistance.
As needed, you will also contribute to a friendly and confidential reception service for both staff and visitors.
Key Responsibilities
The primary duties of this role include:
- Providing comprehensive clerical and administrative support.
- Maintaining healthcare records, including computerized systems and databases.
- Handling reception duties, which involve monitoring visitor attendance and managing telephone inquiries and incoming correspondence.
- Receiving and processing incoming referrals through our E-Referrals system, ensuring all actions are completed appropriately.
- Typing correspondence as required.
- Coordinating healthcare appointments for patients.
- Word processing various documents, including letters, memos, and reports.
- Taking notes or minutes during team meetings when necessary.
- Performing filing, photocopying, scanning, and attaching documents.
- Implementing and maintaining effective filing and follow-up systems.
- Transferring individual and bulk files for archiving between locations.
- Inputting and maintaining clinical data.
- Identifying appropriate health and safety practices for self and others.
- Participating in relevant training courses and keeping updated in accordance with mandatory requirements, as well as engaging in a personal development plan.
- Collaborating with the team to provide coverage for absences due to sickness or annual leave.
- Undertaking any other reasonable duties as required by this role.
