Candidates should be prepared to work on a rotational schedule, typically during standard business hours, Monday through Friday.
Key Responsibilities
Adhering to established policies, procedures, and quality standards, you will deliver a professional and efficient administrative service that allows our clinical teams to concentrate on patient care.
You will communicate with patients and clients in a timely, sensitive, and empathetic manner, whether verbally or non-verbally, ensuring that accurate information is recorded and promptly relayed to the appropriate person or team.
Your role will involve supporting our clinical teams by ensuring they have the necessary supplies, documentation, and equipment to perform their daily tasks effectively.

Job Duties
- Manage voicemails and respond to inquiries from patients and clients, including handling challenging calls professionally, assessing urgency, taking messages, and directing them to the appropriate personnel as needed.
- Schedule, modify, or cancel patient appointments via telephone or in person, ensuring all records are updated and patients are informed accordingly.
- Maintain precise patient records using both electronic and paper formats. Receive, document, transmit, store, and retrieve information from various records and databases.
- Provide a variety of administrative functions, which may include drafting correspondence, processing patient referrals, scanning, photocopying, taking minutes, reserving meeting spaces, sorting mail, and other office-related tasks.
- Assist in monitoring, controlling, and ordering supplies in accordance with organizational procedures.
- Ensure premises are securely locked and alarms are set before leaving, if required.
- Comply with information governance requirements, treating all information as confidential and adhering to data protection regulations.
