Key Responsibilities- Offender Management Coordination: Gather, prepare, and document offender information in both physical and digital formats, ensuring precise data management within the Offender Management Unit (OMU).
- Data Management: Conduct data entry, updates, and retrieval tasks, guaranteeing that all pertinent case information is accurately recorded in the OMU database for accessible performance tracking.
- Compliance Monitoring: Monitor adherence to contract Key Performance Targets (KPTs) by promoting timely completion of Offender Management tasks and providing regular updates to Coordinators on weekly achievements.
- Meeting Documentation: Accurately prepare minutes for Offender Management meetings, including Discharge Boards, MARAP meetings, Sentence Planning Boards, and Offender Manager Meetings, all within strict deadlines.
- Stakeholder Liaison: Collaborate with external entities such as the Police, Probation, and Community Rehabilitation Companies (CRC) to facilitate effective sentence planning and offender management, proactively addressing any arising issues.
- Administrative Support: Deliver comprehensive administrative assistance to Case Managers and senior management, ensuring the seamless functioning of the Offender Management department.
- Colleague Coverage: Provide coverage for colleagues during absences or emergencies, maintaining uninterrupted service delivery within the Offender Management unit.
- Process Support: Assist with Home Detention Curfew (HDC) and Observation, Categorisation, and Allocation (OCA) processes, keeping Case Managers informed about prisoner movements and transfers.
- Familiarity with prison departments and their functions.
- Proficiency in Microsoft Office applications, including Outlook, Excel, Word, and PowerPoint.
- Significant experience in performing similar administrative tasks in an office setting.
- Ability to prioritize tasks and manage your workload effectively, including meeting tight deadlines.
- Strong organizational and administrative skills.

Working Hours: Part-time (38 hours FTE), 15 hours per week.
