About the Role

We are seeking an experienced and skilled Administrative Support for our Acute Oncology Team at Kingston Hospital NHS Foundation Trust.

Job Summary

The successful candidate will provide comprehensive administrative and secretarial support to the Acute Oncology Team, working closely with the Lead Nurse and Consultant. This will involve liaising with other administrative and clerical teams to ensure a high-quality service, effective and timely communication with patients and external organizations, and assisting the team in triaging telephone calls and signposting patients where required.

Main Responsibilities
  • Provide main point of contact for Trust staff, GPs, patients, and carers following an AOS or RDCC referral.
  • Have a good understanding of a range of work procedures and practices, requiring an intermediate level of theoretical knowledge.
  • Provide and receive complex information relating to AOS referrals, requiring persuasive skills to secure agreement and cooperation from a wide range of Trust staff.
  • Plan and organize complex activities or programmes, requiring the formulation and adjustment of plans.
  • Take and transcribe formal minutes, use computer software to develop and create reports, documents, and drawings, and maintain the AOS and RDCC referrals database.
  • Participate in undertaking surveys or audits relevant to the work of the department and development of the service it provides.

Requirements
  • RSA/NVQIII in Secretarial Studies/Business Administration or equivalent knowledge/experience.
  • Minimum 2 years experience as a secretary or administrator with experience of NHS/Healthcare services.
  • Previous experience in cancer services.
  • AMPSPAR or equivalent.
  • Booking clinics and dealing with patient records.
Skills
  • Proficient in use of Software systems.
  • Knowledge and experience of office management, systems, and practice.
  • Database/Audit management.
  • Excellent communication skills, oral and written.
