Position Overview
We are seeking a part-time Healthcare Reception Coordinator to join our dedicated team, following the retirement of a valued staff member.
Work Schedule
This role involves a total of hours per week, specifically on the following days:
- Wednesday
- Thursday
- Friday
Key Responsibilities
In this position, you will deliver essential reception and administrative assistance, interacting with patients, clinical personnel, and community partners in a courteous and professional manner. Your role will include:
- Assisting patients in connecting with the appropriate healthcare providers.
- Performing administrative tasks to ensure the efficient operation of the practice in accordance with established protocols and timelines.
We are looking for an individual who is dependable, adaptable, and enjoys collaborating within a close-knit team.
About Our Practice
West Farm Surgery is conveniently located and easily accessible. Our team consists of three clinical partners and one non-clinical partner, supported by a skilled nursing, pharmacy, physician associate, and administrative team. We are committed to providing exceptional care to our patients.
Job Duties
Reception Duties
- Welcome and guide patients and visitors.
- Schedule appointments both in-person and via telephone.
- Manage requests for home visits in line with practice guidelines.
- Address general inquiries from patients and external organizations.
- Provide support to the practice team and respond to the needs of healthcare professionals during consultations.
- Handle daily tasks received from patients and team members.
- Collect payments for non-NHS services.
- Communicate test results to patients following GP instructions.
Administrative Duties
- Register new patients.
- Process medical records for patients who are deceased or leaving the practice.
- Perform faxing and photocopying as required.
- Update patient address information.
- Manage incoming mail when necessary.
- Scan hospital correspondence.
- Prepare outgoing mail.
- Input and retrieve data from the practice management system.
Prescription Management
- Process repeat prescriptions in accordance with practice policies.
- Distribute repeat prescriptions while ensuring patient identity verification.
- Address prescription-related inquiries from patients and pharmacies.
General Responsibilities
- Maintain a tidy waiting area and reception space at all times.
- Prepare refreshments for doctors, team members, or visitors as requested.
- Ensure consulting rooms are adequately stocked.
- Undertake any other reasonable duties assigned by the manager.
Candidate Profile
Qualifications
- Minimum of 3 GCSEs at Grade A-C (9-4), including English and Mathematics.
Experience
- Strong communication skills.
- Proficient IT skills.
- Previous experience in a healthcare setting is advantageous but not mandatory, as comprehensive training will be provided.
