Job Overview

The primary role involves overseeing and instructing clerical staff and receptionists within the Radiology Department, ensuring the seamless operation of clinics while upholding data integrity and training frameworks, all while maintaining confidentiality.

Key Responsibilities

  • Provide leadership and support to the Radiology Reception and Clerical Teams.
  • Design and customize training programs tailored to the needs of the Radiology reception and clerical staff.
  • Organize mandatory training sessions for all personnel and any additional training as required.
  • Deliver a comprehensive training curriculum for Radiology personnel, focusing on operational procedures related to the CRIS system, in collaboration with the Radiology Administration Manager and PACS Manager.
  • Work alongside the Radiology Administration Manager to develop and uphold protocols within the Radiology Department, ensuring effective communication of information to all team members.
  • Ensure compliance with departmental policies and procedures among all staff, making updates as necessary.
  • Delegate tasks and provide guidance to staff to facilitate the efficient operation of the Radiology Administration Service.
  • Support staff in delivering an efficient reception service for patients attending the Radiology Department, including managing cancellations and rescheduling of Radiology sessions.
  • Maintain awareness of confidentiality, data protection, and Freedom of Information policies among all staff.
  • Collaborate with the Radiology Administration Manager to innovate and adapt workflows to meet the evolving needs of the service.
  • Engage in the management of necessary changes to modernize Radiology services across the organization.
  • Communicate effectively with staff across various disciplines to ensure high standards of customer care while safeguarding confidentiality.
  • Conduct regular audits within the department to uphold high standards of data quality.
  • Address patient complaints in accordance with established procedures, assisting with investigations as needed.
  • Ensure safe working conditions by reporting faulty equipment and conducting regular risk assessments.
  • Access national databases to maintain accurate patient information.
  • Manage the ordering of clerical supplies and maintain effective stock control.
  • Be knowledgeable about Major Incident procedures.
  • Facilitate effective communication within the department through monthly staff meetings, including the preparation and distribution of meeting notes.
  • Attend departmental meetings as required.
  • Assume responsibility for managing the Radiology administration team in the absence of the Radiology Administration Manager, participating in meetings and fulfilling necessary duties.
  • Assist in the recruitment, selection, and performance review processes for departmental staff to meet quality standards.
  • Maintain accurate staff records and establish objectives and personal development plans as part of the annual appraisal process.
  • Promote diversity and equality within the department in accordance with organizational policies and legislation.
  • Conduct return-to-work interviews and manage short-term sickness absence within the department.

Communication

  • Act as a resource for imaging referrers and patient inquiries.
  • Communicate effectively with all service users.
  • Ensure urgent findings are communicated promptly, directing patients as necessary.
  • Liaise with other departments and external sources to provide quality service to patients and clinicians.
  • Report incidents to the Radiology Administration Manager in accordance with policy.

Training & Development

  • Encourage staff to enhance their knowledge and skills.
  • Contribute to the development of Radiology services in collaboration with team members.
  • Provide support, mentoring, and guidance to junior staff, demonstrating effective motivation techniques.
  • Participate actively in the department's audit program.
  • Deliver training on clerical equipment usage to other staff.
  • Advise on proper record-keeping practices.
  • Provide elements of induction training and support for new staff.

Organizational Development

  • Assist in organizing and managing clerical workloads.
  • Participate in the appraisal process for junior staff.
  • Provide feedback to junior staff regarding their work quality.
  • Help plan and organize departmental workflows.
  • Maintain adequate levels of necessary non-stock items.
  • Monitor and report any deficits in data integrity within the department's information systems.
  • Report clinical, non-clinical, and radiation incidents in line with risk management policies.

Qualifications

Essential

  • NVQ Supervisory Management Level 2 or equivalent.
  • GCSE English Grade C or above or equivalent.

Desirable

  • ECDL qualification.

Experience

Essential

  • Extensive experience in Radiology Administration.
  • Proven track record of implementing change.
  • Strong IT skills.

Desirable

  • Experience in supervising or managing a team.
  • Experience in delivering training.
