Position Overview

The role involves delivering a thorough administrative support service to the Consultant Radiologists and the Radiology Management team, along with their associated personnel. This position emphasizes exceptional customer service while upholding strict confidentiality standards.

Key Responsibilities

As a member of the South Cumbria Diagnostic Imaging Network, the successful candidate will assist Consultant Radiologists in generating diagnostic imaging reports, utilizing the Radiology Information System (RIS), Picture Archiving and Communication System (PACS), or alternative methods during system outages. Responsibilities include shorthand reporting and audio transcription.

The role also entails aiding the Radiology management team in monitoring waiting lists and facilitating the effective dissemination of Radiology reports to referrers, administrative staff, and general practitioners.

The post holder will engage with patients, medical professionals, Radiology personnel, and other stakeholders to ensure a seamless patient journey, addressing any inquiries that may arise.

Job Duties

  • Manage workload effectively to ensure the smooth operation of Radiology administrative services.
  • Assist Consultant Radiologists in the creation of diagnostic imaging reports, utilizing RIS, PACS, or alternative systems during outages, including shorthand and audio typing.
  • Prepare, print, and distribute diagnostic reports to referring clinicians or departments as per service agreements.
  • Generate basic Radiology reports using the digital dictation system integrated within RIS or PACS.
  • Support the Radiology management team in monitoring waiting lists.
  • Type correspondence from the Winscribe system.
  • Draft invoices and letters for the legal department, maintaining accurate records for legal purposes, and liaising with the finance department regarding private and category II patients.
  • Ensure reports are verified before dispatch to referring clinicians.
  • Facilitate the effective distribution of Radiology reports to referrers, administrative staff, and general practitioners.
  • Communicate with patients, medical professionals, Radiology staff, and other service users to ensure an efficient patient pathway, addressing any queries that may arise.
  • Manage consultants' schedules regarding holidays, study leave, and meetings, ensuring relevant personnel are informed and adjustments made accordingly.
  • Exercise independent judgment and initiative to resolve issues or escalate them to the appropriate authority.
  • Relay urgent reports to the relevant clinicians in accordance with departmental protocols.
  • Open and organize consultants' mail, including shorthand and typing for general correspondence.
  • Arrange travel and accommodation for Radiologists attending courses and manage subsequent travel claims.
  • Perform housekeeping tasks on RIS and PACS under the guidance of the management team to ensure patient records are accurate and reports are processed efficiently.
  • Validate waiting lists to ensure patient records are accurate and that patients progress through their pathways effectively.
  • Prepare meeting agendas, attend meetings, and produce minutes, assisting with the preparation of documents for publication and/or meetings.
  • Oversee the coordination and management of seminar/student room usage for meetings.
  • Contribute to the efficient operation of the department by performing additional clerical tasks under the supervision of the Radiology Administration Manager.
  • Participate in quality assurance and clinical audit programs as necessary.
  • Maintain confidentiality regarding all information related to patients and colleagues.
  • Assist in training new administrative staff within the department.

Qualifications and Skills

Essential

  • GCSE English Language at grade C or above (or equivalent qualification).
  • Proficient keyboard and audio-typing skills.
  • Ability to accurately input data and information.
  • Attention to detail in data collection.
  • Familiarity with internet and email systems.

Desirable

  • Knowledge of Electronic Patient Records (EPR), RIS, and PACS.
