Objective:

This position serves as a crucial link between clients and service providers, ensuring that a premium standard is upheld consistently.

The Assistant Facilities Manager plays a key role in aiding the UK Facilities Manager with the daily oversight and operational execution of all Facility Management services, alongside the application of CBRE QHSE standards in London.


Key Responsibilities:
  • Assist the Facilities Manager in successfully meeting FM Operations SLAs in line with KPI & Output metrics, ensuring all service providers fulfill their contractual duties.
  • Focus on Fabric Maintenance, coordinating tasks with service providers.
  • Manage vendor relationships, including budget comprehension.
  • Plan and execute fabric maintenance initiatives with the team, collaborating with other departments as necessary, such as Security, Hospitality, and CBRE Engineering.
  • Ensure all Planned Preventative Maintenance (PPM) tasks are completed as scheduled.
  • Conduct monthly self-assessments and participate in quarterly evaluations.
  • Support the Facilities Manager in relevant Facilities Management duties, including regular vendor review meetings when required.
  • Coordinate vendor access using the client Permit to Access system, adhering to all QHSE protocols.
  • Ensure all contractors operate within the relevant QHSE processes and client standards.
  • Implement onsite CBRE QHSE procedures, including Dynamic Risk Assessments and Contractor Monitoring (training will be provided as necessary).
  • Maintain Vendor Logbooks in compliance with CBRE QHSE standards, preparing for regular audits.
  • Oversee the visual standards and overall image of the site, addressing any issues promptly.
  • Conduct inspections in designated areas, documenting and resolving issues through the Facilities Helpdesk.
  • Perform vendor service audits in collaboration with the respective vendor.
  • Establish a clear escalation process for any emergencies related to facilities or equipment.
  • Participate as a member of the site Emergency team, such as a Fire Marshall, when required.
  • Document all accidents, occupational illnesses, and emergencies appropriately.
  • Assist in the development and maintenance of Standard Operating Procedures (SOPs) and Playbooks.
  • Support the Facilities Manager in fostering exceptional client relationships and managing client expectations effectively.
  • Act as the deputy in the absence of the line manager.
  • Additional responsibilities may be assigned as needed.

Required Qualifications:
  • Practical experience collaborating with suppliers to deliver integrated services.
  • Strong understanding of the facilities management sector.
  • Experience in managing suppliers and contractors.
  • Proficient in Microsoft Office Suite.
  • Self-driven and resourceful.
  • Excellent communication skills, both verbal and written.
  • Strong administrative capabilities with attention to detail.
  • Well-organized with effective prioritization and planning skills.
  • Customer service-oriented mindset with clients and stakeholders.
  • Team-oriented approach.
  • Able to work under pressure and tackle challenges as they arise.
