About the Position:
We are collaborating with a prominent organization in search of a Personal Assistant to the Chief Executive Officer. This role is essential in delivering comprehensive support to the Executive Director. Your responsibilities will encompass managing schedules, handling communications, organizing travel, and performing various administrative duties.

Your Role:
As the Personal Assistant, you will provide confidential and proactive support, including managing the Executive Director's calendar, overseeing email correspondence, arranging travel logistics, and executing administrative tasks. You will report to the Senior Manager of the Executive Office and collaborate closely with other assistants to support the leadership team.

Primary Responsibilities:

  • Assist the Executive Director in prioritizing tasks and managing email communications
  • Identify and resolve urgent matters for the office
  • Coordinate the Executive Director's schedule and prepare necessary documentation for meetings
  • Arrange domestic and international travel, including visa applications
  • Facilitate communication with staff, stakeholders, and external agencies
  • Act as a point of contact for inquiries
  • Maintain confidentiality and discretion in all interactions

Candidate Profile:

  • Extensive experience as a Personal Assistant at senior levels
  • Exceptional customer service skills
  • Confidence in engaging with senior executives
  • Strong verbal and written communication abilities
  • Capability to build effective relationships within a sizable organization
  • Meticulous attention to detail and organizational proficiency
  • Experience in a university or research setting is advantageous but not mandatory
  • Ability to work collaboratively with colleagues
