Job Overview

An opportunity has emerged for a full-time Healthcare Administrative Coordinator within the General Surgery Department. The successful candidate will serve as the primary contact for all administrative matters concerning the patient care journey.

This role involves collaborating with a dedicated team to ensure the effective management of the patient pathway from initial referral through to treatment, guaranteeing a seamless experience for all involved.

The post holder will prioritize high levels of satisfaction for both patients and clinicians by being an approachable, knowledgeable, and customer-oriented resource. Consistency across the Trust will be maintained through adherence to Standard Operating Procedures (SOPs), ensuring all responsibilities are executed accurately and within designated timeframes.

Key Responsibilities

1. Manage and document all patient referrals, including both paper and electronic submissions, in accordance with Trust Access Policy and specialty guidelines.

2. Schedule new and follow-up appointments with the most suitable clinicians, ensuring optimal use of available capacity while overseeing other team members to facilitate this process.

3. Ensure that any necessary diagnostics and investigations related to the patient pathway are requested and completed, including those conducted at external facilities, prior to clinic appointments.

4. Coordinate appointments and procedures with other hospitals and organizations as required.

5. Accurately record clinic outcomes in the Patient Administration System (PAS), including those from offsite locations.

6. Lead the completion of clinic cancellation forms and process them according to established protocols.

7. Reschedule outpatient clinics as needed, aligning with waiting time targets.

8. Utilize the Trust's medical transcription system to ensure that urgent correspondence is processed promptly.

9. Collaborate with patient records personnel, ward clerks, and external organizations to guarantee that all medical documentation, referral letters, results, and discharge summaries are accessible for outpatient consultations, delegating tasks to team members as necessary.

10. Identify patients on cancer pathways and coordinate with Cancer Trackers to ensure appropriate handover.
