Job Summary

We are seeking a highly skilled and experienced Executive Assistant to join our team at Pertemps Cardiff. As a key member of our support staff, you will provide exceptional administrative support to our Executive Team, ensuring seamless day-to-day operations and contributing to the success of our organization.

Key Responsibilities
  • Diary Management: Manage and coordinate the schedules of senior executives, ensuring timely and efficient use of their time.
  • Travel Arrangements: Arrange travel and accommodation for executives, ensuring smooth and hassle-free travel experiences.
  • Secretariat Support: Provide administrative support at meetings, ensuring accurate minutes, action items, and follow-up tasks are completed.
  • Relationship Building: Develop and maintain strong relationships with internal and external stakeholders, ensuring excellent communication and collaboration.
  • Enquiry Handling: Respond to enquiries and act as the first point of contact for complex issues, ensuring courtesy, confidentiality, and adherence to GDPR.
  • Business Administration: Serve as the business administrator for the management team, coordinating risk, action, decision, and issues logs, recruitment decisions, and communications.
  • Research and Preparation: Conduct research and prepare documents, presentations, and other materials to support the work of the directorate.
  • Technical Skills: Proficient in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook.
Requirements
  • Experience: Proven experience in an administration or PA role supporting senior-level managers and stakeholders, including experience with sensitive matters.
  • Skills: Excellent organizational skills, ability to plan, organize, and prioritize work effectively; excellent interpersonal and verbal communication skills, with the ability to communicate professionally at all levels.
