Job Summary:
Cameron Kennedy is seeking a highly skilled and experienced Fluent Arabic Administrator to join our team. As a key member of our administrative staff, you will be responsible for providing exceptional support to our organization.
Key Responsibilities:
- Manage the switchboard in a professional and courteous manner, ensuring that all calls are handled efficiently and effectively.
- Monitor voice recordings and update staff names as required, maintaining accurate and up-to-date records.
- Maintain a new joiner/leaver log, ensuring that all personnel changes are documented and communicated to relevant parties.
- Maintain a fixed asset register, processing equation entries on a monthly basis and ensuring that all assets are accurately accounted for.
- Maintain the access control system, producing daily and monthly reports as required.
- Authorize and send purchase orders, ensuring that all procurement activities are conducted in a timely and efficient manner.
- Order stationery, printing, and other supplies as needed, maintaining a well-stocked and organized office environment.
- Monitor document archiving online databases, ensuring that all documents are accurately stored and easily accessible.
- Review and authorize Restore Intake Forms input by the mail room, maintaining accurate and up-to-date records.
- Send Restore destruction reports to all departments on a yearly basis, ensuring that all regulatory requirements are met.
- Update Peoplesafe (staff contact details and emergency vendor contacts), maintaining accurate and up-to-date records.
- Maintain the DSE portal, ensuring that all staff are aware of their responsibilities and obligations.
- Maintain Fire Safety awareness portal, ensuring that all staff are aware of their responsibilities and obligations.
- Support and advise mail room staff as needed, providing guidance and assistance to ensure that all mail room activities are conducted efficiently and effectively.
- Assist admin and facilities management with new projects, providing administrative support and coordination as required.
- Perform any other duties as directed by management, ensuring that all tasks are completed to a high standard and in a timely manner.
Requirements:
- A good clear speaking voice, with Arabic language proficiency preferred.
- A calm, efficient manner, with the ability to cope under pressure and work in a fast-paced environment.
- Excellent knowledge of Microsoft applications, including word processing, spreadsheets, and presentation software.
- Knowledge of switchboard operations, including call handling and management.
- At least 3 years of similar experience working in an administration role, with a proven track record of providing exceptional support and service.
- Competencies:
- A good team player, with excellent communication, analytical, and numeracy skills.
- Capable of taking on new tasks as and when required, with a flexible and adaptable approach.
- Calm, polite attitude is essential to this position, with a focus on providing exceptional customer service.
