Job Summary:
We are seeking a highly organized and proactive Team Administrator to join our team in Farringdon. As the first point of contact for our clients and visitors, you will be responsible for providing exceptional customer service and ensuring the smooth day-to-day operation of the office.
Key Responsibilities:
- Provide administrative support to the team, including answering phones, responding to emails, and maintaining accurate records.
- Manage the front of house reception, including greeting clients and visitors, and handling correspondence.
- Support the team secretaries with day-to-day administration, including data entry, filing, and document management.
- Arrange meetings and reviews, and maintain the office diary to ensure smooth coordination within the team.
- Maintain and manage office supplies, including stationery, and ensure that the office is well-stocked and organized.
- Provide support in typing letters and reports, with precise formatting, and manipulate PDFs to assist in document management.
- Ensure proper filing and archiving of paper correspondence, and maintain the group's daily diary to ensure accurate and up-to-date information.
- Manage group contacts efficiently, and arrange refreshments for meetings with external guests.
- Organize personal protective equipment (PPE) for site visits, and ensure that the office is compliant with all relevant health and safety regulations.
Requirements:
- Previous experience in a team administration role, with demonstrated experience of supporting multiple people at once.
- Excellent communication and interpersonal skills, with the ability to build strong relationships with clients and colleagues.
- Strong attention to detail and highly organized, with the ability to prioritize tasks and manage multiple projects simultaneously.
- Proactive and self-motivated, with the ability to work independently and under pressure.
