About the Role:

The Fleet Administrator will provide administrative support to the Fleet Manager and other departments at Andy Dixon Facilities. This role involves coordinating and implementing procedures, as well as taking responsibility for specific projects and tasks.

Key Responsibilities:

  1. Update the R2C workshop management system for new and existing vehicles.
  2. Administer 'O' licence and associated compliance.
  3. Arrange IVS Applications & Inspections.
  4. Coordinate inspections/MOTs/IVA's/Tacho Calibrations with outside service providers.
  5. Cross-reference equipment on production against job sheets for Tacho calibration, service, and MOTs, electrical certification certificates.
  6. Keep vehicle/trailer files up to date in line with auditing & DVSA requirements.
  7. Update and distribute completed VOR List.
  8. Update Hire Vehicle Spreadsheet & Issue Weekly Hire Report.
  9. Arrange hire vehicles as requested, including cars, vans, HGV's.
  10. Ensure all Cross Hires paperwork is sourced and compliant prior to use from Account Management team.
  11. Manage MOT, Services, Loler, Tachos, electrical certification for Cross Hires where agreed.
  12. Add vehicles to required accounts (MID, CC, Dartford, CAZ's, LLCS etc).
  13. Update in-house matrix with yard check, VOR, MOT's, including Fleet Profile plan matrix.
  14. Input into weekly reports and dashboards for compliance.
  15. Monitor and process PCNs, fines, and speeding violations.
  16. Manage vehicle Taxation.
  17. Manage new vehicle compliance paperwork and certificates.
  18. Certificate of conformity and registration through DVSA.
  19. Process paperwork for SORN or scrap vehicles.
  20. Issue PO numbers for all work carried out and authorise invoices.
  21. Generate and run Fleet List.
  22. Liaise with Supply Base as necessary.

Essential Requirements:

  1. Excellent communication skills, verbal and written.
  2. Experience of working in a fast-paced and dynamic environment.
  3. Experience working in a busy transport office.
  4. Knowledge of current regulations relating to HGV compliance.
  5. Knowledge of Microsoft Outlook, Excel, and Word.
  6. Ability to work alone and within a team.
  7. Ability to multitask efficiently within a dynamic and fast-paced transport environment.
  8. OLAT certification.
