This role is a key member of the Sussex BCSP Programme administration management team, working towards the achievement of service delivery for the Screening Programme. The successful candidate will be responsible for providing an efficient and effective patient access, reception, secretarial, and ward administration services as allocated.
Main Responsibilities- Direct line management of the team, as allocated.
- Manage and develop the access service, as allocated.
- Responsible for staff recruitment, appraisal, feedback, and performance management for all A&C staff, as allocated.
- Responsible for the training and development of staff within the allocated teams.
- Ensure any administration bank/agency usage is undertaken within the budgeted establishment.
- Responsible for ensuring work is distributed equitably across teams and team members, and that the workload during periods of planned and unplanned absences is appropriately managed.
- Ensure induction programmes for new staff covering training, orientation, and necessary Trust accreditation processes are implemented and documented.
- Using specialist knowledge of information systems and of multiple specialised clinical and non-clinical areas, to provide advice and guidance to Colleagues, General Practitioners, Consultants, patients.
- Communicate sometimes highly sensitive, stressful, and complex matters with Nurse Specialists, General Practitioners, Consultants, patients, medical secretaries, and allied areas.
- Maintain accurate annual leave and sickness records for direct reports and take action as required according to policy, ensuring the provision of a consistent patient access, and administration service to the Programme.
- Manage and address any issues relating to a breach.
- Undertake regular workstation assessments for the departments and areas under the post holder's direct line management, ensuring that all findings and outcomes are recorded and acted on as required.
- Collect, analyse, and interpret statistical performance information relevant to activity, and to provide this information to relevant interested parties (e.g. QARC).
- Advise the Manager of any issues relating to demand and capacity when necessary.
- Support the Manager in the annual capacity/demand planning.
- Be a member of the department management team, and to organise the monthly heads of department meetings.
- Provide monthly statistical reports on activity to the Manager.
- Ensure staff under direct line management attend Mandatory Training, ensuring accurate records are maintained of all training attended by individual staff members.
- Monitor, interpret, and apply Programme, National, and BSUH NHS Trust-based policies relevant to the department.
- Develop and implement service improvement policies, guidelines, and procedures which will have an impact on patient access.
- Implement and manage the usage of Programme IT systems in areas allocated.
- Constantly review working practices in the patient access service, in order to identify where operational improvements can be made.
- Ensure that staff under direct line management are aware of all new policies and that these are adhered to.
- Develop and lead administration team meetings to ensure effective communication.
- Act as a mentor for new staff under direct line management, designing and monitoring the induction programme for the individual.
- 2+ years experience in management.
- Extensive NHS experience.
- Extensive working knowledge of RTT waiting list.
- GCSE qualification or equivalent.
- Evidence of having championed diversity in previous roles (as appropriate to role).
- Evidence of having undertaken own development to improve understanding of equalities issues.
