Key ResponsibilitiesThe successful candidate will assist the Fleet Hire Desk and Contract Supervisor, as well as the Fleet Business Manager, in the daily management of vehicle and equipment hire operations. Responsibilities include:
- Data Management: Accurately and efficiently input hire data for vehicles, plant, and equipment into the Fleet Management System, ensuring timely updates.
- Insurance Compliance: Maintain records of vehicles on the Motor Insurance database, ensuring compliance with relevant policies.
- Order Processing: Generate purchase orders and work instructions, ensuring accurate documentation in line with company procedures.
- Supplier Coordination: Liaise with suppliers to guarantee that vehicles and equipment meet contract specifications and customer requirements.
- Issue Resolution: Provide necessary information regarding supplier non-compliance and assist in documenting incidents and damage claims.
- Contract Support: Assist in the preparation and evaluation of hire contracts managed by Fleet Services.
- Inspections: Conduct inspections of vehicles and equipment in accordance with company policies.
- Supervisory Support: Cover for the Fleet Hire Desk and Contract Supervisor as needed, ensuring continuity of service and compliance with contractual obligations.
- Administrative Duties: Perform general office tasks related to the Hire Desk to maintain an efficient service.
- Quality Assurance: Uphold ISO Quality System standards and promote a high level of customer service.
The ideal candidate will possess:
- A minimum of 4 GCSEs at Grade A - C, including English and Mathematics.
- Experience in a customer-facing role within an office or vehicle hire environment.
- Proficiency in computer applications, including word processing, databases, and spreadsheets.
Successful candidates will demonstrate:
- Ability to work independently with minimal supervision.
- Flexibility to work outside standard office hours as required.
- A valid driving license for the required vehicle category, subject to an in-house Driver Induction Assessment.
