**Artic Planner Administrator**

David Watson Transport Ltd is an ISO-accredited, FORS Gold specialist transport company, with seven depots across the country, more than 100 vehicles and over 160 employees. Our company motto is “Setting the standards for others to follow” and we are looking for someone who shares these principles to join our team as an Artic Planner Administrator, based at our Norfolk depot in Brandon (near Thetford).

As an Artic Planner Administrator, you will play a crucial role in coordinating and managing the transportation operations of our fleet of 35 artic units. In addition to planning and scheduling transport activities, you will also be responsible for various administrative tasks, including timesheet management, expense tracking, and holiday coordination. Your role will encompass overseeing a diverse range of transport tasks, including specialist transport services, and ensuring smooth and efficient operations.

**Responsibilities**:

- Transport Planning: Develop comprehensive transport plans, considering factors such as vehicle availability, delivery deadlines, load capacity, and route optimisation.
- Scheduling: Create daily schedules for drivers, assigning routes and deliveries to maximise efficiency while meeting customer requirements.
- Resource Allocation: Coordinate the allocation of fleet resources, ensuring adequate coverage for all transport requests, including specialist transport services.
- Timesheet Administration: Manage and maintain accurate timesheets for drivers, recording their working hours, breaks, and overtime, and ensuring compliance with relevant labour regulations.
- Expense Tracking: Monitor and process driver expenses, ensuring proper documentation, accuracy, and adherence to company policies.
- Holiday Coordination: Administer the holiday and time-off requests for drivers, maintaining an organised schedule to ensure appropriate coverage and mínimal disruption to operations.
- Communication: Maintain effective communication with drivers, providing clear instructions, updating them on schedule changes, and addressing any issues that arise during transport.
- Routing and Optimisation: Optimise route planning to minimise fuel consumption, reduce transit times, and maximise vehicle utilization.
- Monitoring and Tracking: Utilise telematics systems and other tools to track and monitor vehicle locations, delivery status, and driver performance.
- Problem Solving: Proactively identify potential logístical issues and implement solutions to mitigate disruptions in the transportation process.
- Documentation: Maintain accurate records of transport activities, including driver logs, vehicle maintenance records, and delivery documentation.
- Compliance: Ensure compliance with relevant regulations, including driving hours, vehicle weight limits, and health and safety guidelines.
- Stakeholder Collaboration: Collaborate with internal teams such as HR, Key Account Managers, and Service department staff to coordinate transport operations effectively.
- Performance Analysis: Analyse transportation data and generate reports on key performance indicators (KPIs), identifying areas for improvement and implementing corrective measures.
- Training and Support: Provide guidance and support to drivers, addressing their queries and assisting with any operational challenges they encounter.
- Administrative Support: Assist with general administrative tasks such as filing, record-keeping, and data entry as needed.

**Qualifications and Skills**:

- Previous experience in transport planning or logistics administration is highly desirable.
- Knowledge of artic units and specialist transport operations is a strong advantage.
- Proficiency in using transport management software and other relevant tools.
- Strong organisational and time management skills with the ability to prioritise tasks effectively.
- Excellent communication skills, both verbal and written, to interact with drivers and other stakeholders.
- Analytical mindset with the ability to identify and solve problems efficiently.
- Attention to detail and accuracy in maintaining records and documentation.
- Knowledge of relevant regulations and compliance requirements in the transportation industry.
- Experience in timesheet management, expense tracking, and holiday coordination.
- Flexibility to adapt to changing priorities and manage multiple tasks simultaneously.
- A positive attitude, team-oriented mindset, and a willingness to work collaboratively.

**Salary**: £34,000.00-£36,000.00 per year
